In 2013, City Harvest implemented Microsoft Dynamics GP to support core accounting and financial management. The Microsoft Dynamics GP deployment addressed ERP Financial requirements across general ledger, accounts payable, cash management, and donor revenue recognition workflows. Implementation included integration with Papersave for automated invoicing and with Microsoft FRx as the automated reports writer, preserving the organizations GAAP monthly financial statement production. The system integrator MIG led the deployment and configuration efforts with accounting and finance leadership.
Operational scope encompassed the accounting and finance function, including monthly end closing, preparation of audited financial statements and audit schedules, monthly cash flow forecasting, bank relationship management, and budget variance analysis distributed to organizational supervisors. Governance and process changes centered on timely reconciliations, approval controls for journal entries entered by staff accountants, and classification workflows for temporarily restricted gifts and gifts released from restriction to enable accurate grant reporting. Microsoft Dynamics GP supported these workflows and reporting outputs, while Papersave and Microsoft FRx provided document automation and financial report generation used by the Controller and CFO.

The engagement positioned Microsoft Dynamics GP – Supply Chain Management as the central Supply Chain Management application supporting inventory and financial workflows for the nonprofit.
The implementation configured core financials, inventory management and allocation workflows, aligning inventory and supply-chain usage with operational logistics. The on-premises architecture was integrated with Dynamics CRM and with existing logistics tools to connect donor and pickup records to inventory transactions and delivery planning.
Operational coverage focused on City Harvests food rescue and distribution operations across New York City, with primary business functions impacted including operations, logistics and finance. MIG & Co. led the deployment beginning in 2011 and established role based access, transaction controls and process workflows to govern inventory updates and allocation decisions.
The deployment delivered explicit improvements in inventory accuracy and enabled City Harvest to nearly double rescued food deliveries while keeping delivery costs stable. Microsoft Dynamics GP – Supply Chain Management became the focal system for inventory and supply chain management for City Harvests rescue operations.
