In 2019, Exagen Inc. implemented Quadax Revenue Cycle Optimization to centralize billing, appeals, and document workflows as part of its Revenue Cycle Management operations. The implementation focused on the Appeal and Billing departments and supported routine departmental responsibilities including task assignment, high volume document handling between 3,000 and 10,000 items, and operational reporting for Director and VP stakeholders. Quadax Revenue Cycle Optimization was configured to support claims printing and mailing, letter maintenance for appeal and medical records cover letters, and HARP based revenue and reimbursement reporting. Functional capabilities in use included daily work allocation and tracking of folder duties, creation and storage of payor specific flow charts for billing and appeals, and generating PivotTables and slide decks for leadership review. The deployment explicitly integrated with OnBase for document control and employee onboarding, Insperity TimeStar for bi weekly timecard approvals, Quadax HARP for revenue data and reimbursement success rate reporting, and external payor portals including the UHC payor portal and a canary portal for payor form research. Operational mail and print processes were supported by Quadient and Neopost service relationships and downstream processing leveraged Data i-Sight accounts identified through payor portal workflows. Governance and process changes were driven by Appeal/Admin supervisory practices, including daily task assignments, weekly audits of representatives, onboarding and training workflows, creation of SOPs for Appeal and Billing departments, maintenance and escalation for mailing hardware, and annual support for compliance billing audits. System use extended to call handling for patient consent and appeal inquiries, correction and reprinting of statement errors, and routine preparation and tracking of incoming checks for next day shipping.
