In 2017 Gentoo Care implemented Capita Swordfish Document Management to centralize records for customer service and housing administration. The deployment targeted customer service assistants, reception and housing administration teams at Gentoo Group locations including Sunderland, supporting core business functions around tenancy sign ups, mutual exchange processing and routine correspondence handling.
Capita Swordfish Document Management was configured to support document capture, indexed storage, search and retrieval, records classification and basic workflow orchestration consistent with Document Management use cases. The implementation reflected operational use cases described by front line staff, including digitizing sign up packs, mutual exchange applications, fire log sheets and distribution of franked mail, and provisioning role based access for reception and customer service workstreams.
Operationally the application was used alongside Office applications and other internal systems cited by staff, including Excel, Word, PowerPoint, Outlook, Orchard, Zeus, My view, Excellent customer live system and Choice based lettings, with Swordfish acting as the central document repository in day to day administrative workflows. Governance focused on records management and access controls aligned to housing workflows, and rollout included training and operational handover to customer service and housing administration teams who recorded and processed tenancy and mutual exchange documentation using Capita Swordfish Document Management.
