In 2018 Health by Design implemented CheckR to support its BackGround Screening activities across the medical group in San Antonio, Texas. The adoption of CheckR was embedded into existing recruiting and onboarding workflows managed by the HR team, covering pre-employment background checks and drug screening as part of candidate qualification.
CheckR was used alongside other screening vendors and became a standardized source for criminal and employment screening results, reference checks, and drug test orders within the HR operational workflow. Screening outputs were reviewed by HR generalists and hiring managers and then recorded as part of new hire onboarding and compliance tracking processes managed through the organization s HRIS, KG Kronos.
Operational scope included recruiting, offer generation, new hire orientation, benefits enrollment, and compliance tasks such as I-9 verification and medical licensure tracking. Governance activities centered on HR driven process controls, routing of screening results into onboarding checklists, and ongoing monitoring of certifications and renewals to support hiring and credentialing for clinical staff.

In 2019, Health by Design implemented eClinicalWorks Cloud EHR as its Electronic Health Record to centralize clinical documentation and to feed analytics and operational reporting across clinic sites. The eClinicalWorks Cloud EHR served as the primary clinical system within a broader data platform that consolidated clinical, workforce, and eligibility data for downstream reporting and master data management.
The implementation included a Medical Data Warehouse built on SQL Server that ingested eClinicalWorks EMR extracts, Kronos WorkForce Management data, and client eligibility files. A Patient Master Data Reference was created using natural language processing NLP techniques to resolve patient identity and unstructured clinical text, and a Provider Master Data Reference was established to standardize provider attributes and credentials. A clinic capacity management dashboard was developed in Power BI and fed directly from the SQL Server warehouse to provide operational visibility for scheduling and clinic throughput.
Architecturally the deployment paired the eClinicalWorks Cloud EHR front end with a centralized SQL Server based data warehouse and a Power BI reporting layer, with ETL processes to normalize feeds from Kronos and client eligibility sources. Integrations explicitly implemented were eClinicalWorks EMR, Kronos WorkForce Management, and client eligibility files, with NLP pipelines applied during ingestion to support master data reconciliation. The solution emphasized a data-centric topology to enable reporting, master patient and provider reference, and clinic capacity analytics.
Governance and operationalization included creation of master data stewardship for patient and provider references and a managed rollout of the Power BI clinic capacity dashboard to clinical operations and access management teams. The engagement included management and coaching of a team of database professionals to operate the warehouse, maintain ETL and NLP workflows, and support ongoing data quality processes. Health by Design, eClinicalWorks Cloud EHR Electronic Health Record implementation aligned clinical systems, workforce data, and eligibility feeds to support coordinated clinic operations.
