In-House Applications Legacy In-House Benefits Benefits Administration HCM n/a 2010 2010
In 2010, Illinois Bone & Joint Institute implemented In-House Benefits, an in-house Excel based solution for Benefits Administration. The In-House Benefits application was provisioned to support benefits administration for approximately 1,100 employees and to centralize plan configuration and enrollment recordkeeping within the HR organization. The implementation organized benefits workflows into spreadsheet-driven modules for enrollment tracking, eligibility maintenance, premium deduction calculations, plan configuration, and basic reporting. Configuration relied on formula-driven logic and templated worksheets to standardize plan year inputs, enrollment windows, and employee-level benefit elections, providing a single workbook reference for HR benefits processing. Operational governance placed ownership with the HR benefits team, who maintained centrally controlled Excel workbooks with formal versioning, change logs, and approval handoffs to enforce updates to plan tables and enrollment data. Day to day operations emphasized manual data entry and periodic reconciliation, with governance focused on file access controls, documentation of procedures, and change management for plan updates rather than programmatic integrations.

Epic Systems Legacy EPIC EHR Electronic Health Record ERP Services and Operations n/a 2021 2022
In 2021, Illinois Bone & Joint Institute launched EPIC EHR as their new integrated electronic medical record system on July 12, 2021. The EPIC EHR deployment centralizes all IBJI practices onto a single integrated platform, implementing an Electronic Health Record to streamline and simplify delivery of care across the patient journey. The implementation focuses on core clinical documentation and care coordination capabilities, standardizing provider workflows and templates to improve visibility into a patient medical history and to support evidence based care. The rollout emphasizes patient intake and scheduling efficiencies to reduce time spent filling out paperwork in waiting rooms, and it positions clinical teams to operate on one unified record for imaging, prescriptions, and encounter documentation. This shift includes deployment of Epic Systems patient portal MyChart, providing patients access to medical records, imaging results, scheduled appointments, bill payment, secure messaging with care teams, and prescription refill requests. The EPIC EHR configuration also enables record sharing with other hospitals, healthcare facilities, and providers that utilize the system, improving interoperability across care sites within the Epic network. The operational scope began in many IBJI clinics on July 12 and will continue to rollout across the entire IBJI footprint through the remainder of 2021. Governance changes accompanying the go live emphasize standardized clinical practice adoption and provider visibility into longitudinal records, supporting care coordination across departments and sites. The IBJI communications note highlights expected benefits of streamlined patient experience, standardized practices, and enhanced patient engagement through MyChart as explicit outcomes of the EPIC EHR deployment.

Epic Systems Legacy Epic Caboodle (ex Cogito Data Warehouse) Data Warehouse Analytics and BI n/a 2020 2020
In 2020, Illinois Bone & Joint Institute implemented Epic Caboodle (ex Cogito Data Warehouse) as a Data Warehouse to consolidate clinical, scheduling, and operational datasets across its enterprise. The data warehouse deployment accompanied a broader Epic rollout that included Bones, Ambulatory, Cadence, Resolute, Cogito and Prelude modules, aligning the Epic Caboodle implementation with clinical documentation, scheduling, and billing workflows. Epic Caboodle (ex Cogito Data Warehouse) was configured to centralize clinical and appointment data and to enable domain consolidation and structured data conversions. The program converted five electronic health record systems into a single solution and executed fifteen data and appointment conversions, with centralized oversight of all interface and conversion activities to maintain data feed continuity. Operational coverage extended to 35 locations and encompassed 145 physicians, 70 mid level clinicians and approximately 1500 staff who were brought live in a single coordinated cutover supported by a team of 17 analysts. Implementation workstreams included testing, access controls, end user training, go live support and ongoing optimization, and the project team collaborated directly with C suite leadership to define business objectives and standardize clinical content. Project governance incorporated weekly and monthly meetings with operational leaders and board members, formal vendor vetting and contract negotiation, and strict budget management that produced a six million dollar project budget. Explicit outcomes recorded by project leadership include a staffing reduction of four full time equivalents and five hundred thousand dollars in staff budget savings in the first fiscal year, while governance activities addressed scope creep, escalations and budget adherence throughout execution.
