In 2017, Jellycat implemented SAP Business One as its ERP Financial application at its Shepherds Bush site during a May to October 2017 rollout. The deployment positioned SAP Business One as the central finance system supporting a 172-employee retail organization that regularly transacts with large wholesale customers including John Lewis, Selfridges, Debenhams, and Harrods.
The implementation used SAP Business One functionality to generate sales invoices and credit notes via a document generation wizard, to code and input bank receipts, and to record employee expenses. Teams processed purchase invoice approvals with frequent use of V Look Ups, executed weekly reconciliations across several banks, and managed supplier payments through a month end payment wizard. Financial capabilities also included processing refunds, depositing credit card and online payment funds, handling foreign currencies, statistical reporting, and fixed assets accounting.
Operational coverage extended across the business, with finance working closely with European sales for foreign banking, with the design and production teams to account for stock arrivals and place down payments, and with procurement and suppliers to account for import duty and landed costs. The finance team analyzed courier overcharging by DHL using V Look Ups and ratio calculations to determine net costs relative to gross profit, and coordinated with the credit controller to manage customer credits and escalate to a debt collector when a customer was placed on credit freeze.
Governance and day to day workflow were formalized in SAP Business One through purchase invoice approval routes, routine bank reconciliations, the month end payment wizard, and standardized document generation processes. The finance function also provided system support for petty cash and assisted colleagues across departments to ensure consistent accounting for transactions and landed cost attribution.
