In 2019 KNHB implemented RefAssist to centralize management, planning and communications for referees, observers and appointers across the Netherlands. RefAssist was deployed as a Workforce Management application to support officials coordination and scheduling at national and regional levels.
Configuration focused on management workflows, automated appointment generation and communications, with inferred use of modules for assignment orchestration and assessment reporting. The implementation consolidated role-based schedules for referees, observers and appointers, and instrumented centralized messaging for assignment confirmations and postmatch assessments.
The solution was integrated with the RDHA external database to keep leagues, matches and officials synchronized, enabling automated propagation of assignments and consistent official rosters across competition schedules. Operational coverage included national competitions and regional leagues, aligning match schedules with official availability and assignments.
Governance moved toward a centralized assignment and communications workflow administered by KNHB officials, streamlining assessment reporting and improving system stability as reported. RefAssist therefore functions as the primary Workforce Management platform for the Royal Dutch Hockey Association officials and scheduling operations.

In 2017, KNHB deployed Exact Synergy for Document Management with Business Experts to establish a centralized contract management capability. The implementation captured term agreements across insurance, subscriptions, software licenses, energy contracts, employment contracts, telephony, rent and maintenance, providing a single contract register for the organization. Business Experts provisioned the initial system configuration in two days, enabling rapid capture of existing agreements and immediate operational use.
Exact Synergy was configured to provide contract lifecycle workflows, metadata driven search, template storage, automated reminders and an auditable document repository consistent with Document Management practices. Role based access and approval routing were implemented to align contract authoring and renewals with administrative, HR, procurement and facilities processes, supporting ongoing event and operational administration. Governance and rollout were handled through Business Experts led configuration and handover, and KNHB reported that the solution saves costs and helps prevent risks.
