In 2020 LightBox implemented Sage Intacct as its ERP Financial platform to centralize accounts receivable and cash application functions across its finance organization. LightBox deployed Sage Intacct to support day to day cash posting, payment processing, and AR workflows, positioning Sage Intacct as the primary ERP Financial application for transaction capture and account reconciliation.
The implementation emphasized accounts receivable and cash management configuration within Sage Intacct. Modules and configuration work focused on cash application workflows to accept daily lockbox and ACH/Wire file imports, provide for manual entry of credit card payments, and support coding of unidentified, partial, and short payments. The deployment included development of standard operating procedures for repetitive cash application tasks and initial automation efforts to increase productivity for AR analysts.
Operational integrations and coverage were organized around six distinct entities, with AR staff retrieving daily lockbox and ACH/Wire information for each entity, cleansing and researching discrepancies, and uploading cleaned payment files into Sage Intacct to apply to customer accounts. AR analysts also complete a monthly financial analysis rebate report within the Sage Intacct environment and handle collections for one entity, consolidating payment application and receivable follow up inside the ERP Financial system.
Governance and process work included documentation of Standard Operating Procedures, structured research and coding protocols for short and partial payments, and provision of information to support audits and ad hoc requests. Staff participation in implementing systems and processes for cash application automation is recorded as part of the rollout, with AR analyst responsibilities formalized around the Sage Intacct cash application and accounts receivable workflows.
