Configuration work focused on role-based workflows and ledger mapping inside Visa Spend Clarity. The college configured cardholder accounts, card delegate profiles, and card supervisor review roles to support month-end reconciliation, attachment of receipts and backup documentation, and allocation of charges to budgetary account codes. Card delegates were set up to allocate transactions on behalf of one or more cardholders, and supervisors were provisioned to review departmental transaction summaries and approve account coding prior to statement sign-off.
The implementation was aligned with the PNC Procurement Card issuance model, with card issuance and fraud reporting remaining with PNC while transaction lifecycle and coding were managed in Visa Spend Clarity. Operational scope extended across academic and administrative departments, with Department Chairs, Directors, Deans and VPs exercising delegation authority for card issuance and oversight. Business functions impacted included Purchasing, departmental budget owners, and accounts payable, which relied on the Expense Management system for reconciled charge records.
