In 2016, Ahold Delhaize Netherlands deployed Coupa Invoice to centralize accounts payable and deliver enterprise AP Automation. The implementation targeted company-wide invoice processing and supplier invoice lifecycle management across finance and procurement functions, positioning Coupa Invoice as the primary system for invoice intake and routing.
The deployment configured core AP Automation capabilities consistent with the application category, including invoice capture and data extraction, automated workflow routing and multi-level approvals, invoice-to-purchase-order matching, and exception handling for nonconforming invoices. Coupa Invoice was instrumented to support supplier collaboration and a centralized approval topology, aligning invoice workflows with corporate procure-to-pay controls.
Operational coverage extended throughout the organization, with the implementation scoped to accounts payable, shared services, and procurement teams to standardize invoice handling and reduce manual touchpoints. The Coupa Invoice instance was integrated into the broader back-office landscape, exchanging invoice and payment status information with enterprise ERP and treasury applications to maintain financial posting and payment orchestration consistency.
Governance shifted toward centralized policies and supplier onboarding workflows to sustain the AP Automation model, with program stewardship residing in finance and procurement leadership. Company statements note transformation of processes, with Senior Manager Connie Lebo stating, Coupa has transformed our processes throughout the company, and wed like to double the spend in Coupa, which signals ongoing expansion of Coupa Invoice usage and deeper adoption across procurement and payables.

The deployment targeted enterprise contingent workforce processes across the Netherlands operations of Ahold Delhaize Netherlands, sized for large scale HR and procurement coordination within a company employing roughly 100000 people.
The implementation configured SAP Fieldglass modules typical for Contingent Labor Management, including supplier and vendor management, requisition and worker order orchestration, timesheet and invoice lifecycle controls, and statement of work management. | Planon Software | Legacy | Planon Universe | Facility Management | ERP Services and Operations | n/a | 2017 | 2017 |
In 2017 Ahold Delhaize Netherlands upgraded their in-house Planon system to Planon Universe in the Facility Management category, initiating a project to re-integrate the new release into the existing IT landscape. The central Dutch Facility Management organisation uses Planon Universe to standardize facility, contract and maintenance management processes across headquarters, distribution centres and home shop centres, handling approximately 100,000 visitor registrations, 80,000 room bookings and 70,000 maintenance calls yearly through the system.
The implementation followed a functional as-is upgrade approach, retaining extensive Planon Self-Service forms and existing configurations while adopting Planon Universe capabilities, including Planon Apps and planned rollout of Planon Mobile Field Services for field engineers. The deployment was delivered via the Planon cloud service and leveraged the new Planon integration technology, which required reworking interface logic and cloud security considerations.
Planon Universe was integrated with a diverse set of Ahold Delhaize IT systems, explicitly including HR, finance, access and identity management, to maintain end-to-end FM workflows and data flows. Operational scope covered Dutch headquarters, distribution centres and home shop centres, and future phases aimed to onboard external service providers to the platform to extend field service and supplier workflows.
Governance relied on a broad cross functional project team with representation from management, business, IT and Planon, the project was framed as an integration effort to manage interface change and cloud implications. IT security performed penetration tests, Planon issued service packs to resolve findings, and Ahold Delhaize executed two dry runs before final go live, resulting in a low risk cutover. Reported outcomes from the upgrade included restored vendor support, improved performance, reduced total cost of ownership through cloud deployment, continuous update capability for ongoing innovation, and improved end user satisfaction within the Facility Management function.
