The implementation included configuration of allocation rules and predefined characteristics to split the Bechtle Partner Center published invoice, tenant credit tracking based on institute cost estimates, and automated email delivery of invoice attachments to downstream systems and stakeholders.
The solution integrated Azure billing and reporting surfaced in an Azure dashboard with the Bechtle Partner Center used to publish the consolidated invoice, and a SAP interface at RWTH Aachen to route institute-specific invoices into each institute’s payable process. Operational coverage focused on research institutes and the central IT Center, with the workflow enforcing fund-aware chargeback so grant-funded, budget-allocation, and multi-year funded projects could be accounted for differently.
Governance and process changes centralized invoice orchestration in Microsoft Dynamics 365 Business Central, enabling standardized mapping of funding terms, automated distribution to institutes, and support for institutes to issue invoices to external sponsors. Explicit outcomes reported include reduced administrative effort, reclaimed IT Center time for advisory work, and the ability to scale from pilot projects to a broader university-wide Azure rollout with plans to support around one hundred projects.
