Oracle PeopleSoft Payables was set up to enforce approval authority audits, support cash discount capture and credit balance and deduction offset workflows, and enable journal entry creation and reconciliation of AP general ledger accounts including purchase card and T&E clearing accounts. Operational integrations were implemented to connect invoice and receiving records from distribution center operations with the AP workflows, and to feed transactional data into the company general ledger and records retention systems. The deployment also encompassed oversight of vendor master data integrity and the automated Accounts Payable system used by staff who research vendor inquiries, manage escalations, and execute payment exceptions. Governance was structured to support Sarbanes Oxley controls and year end audit requirements, with process reviews, approval authority verification, and audit schedule preparation embedded in AP operations. The program included role based responsibilities for AP management covering staffing, training, performance management, and process documentation to maintain control over three way match, reconciliations, and records retention within the Oracle PeopleSoft Payables AP Automation environment.

The implementation covered HR, payroll, talent and recruiting workflows, and centralized absence records and approvals to support enterprise HR operations across the organization. Governance and process work accompanied the technical rollout, with a security governance model and process framework established to manage Workday security requests. SpartanNash staffed a lead for testing and reporting during the Absence rollout, provided backup support for general Workday issues, and coordinated with business leadership and internal audit to resolve security and access requests, while escalating technical issues to Workday and support partners as needed.
