The solution exposed payment detail and transaction history screens that surface allocated amounts, EFT payment dates and transaction references, and provided workflow item visibility with statuses such as posted, issued and voided, enabling Accounts Payable staff to inspect workflow trails and scheduled or open workflow items. University of Tasmania TechnologyOne e-Invoicing AP Automation Business Function was therefore instrumented around invoice lifecycle, payment allocation, workflow auditing and enquiry-driven AP operations.

The deployment used Selective Adoption to introduce functional capabilities including Recruiting Solutions, ePerformance, Fluid user interface enhancements, Time and Labor, Payroll, Absence Management, Self Service and casual timesheet and recruiting improvements. Oracle PeopleSoft Absence Management was configured alongside custom Fluid tiles that surface cheat sheets, FAQs and a reporting tile, enabling end users to access HR BI warehouse reports and operational guidance directly from the Fluid UI. Integrations in scope included direct access to HR and BI warehouse reporting via the Fluid reporting tile and alignment with existing HR Payroll and Time and Labor processes, supporting academic and professional performance measurement workflows. The Phase 2 update delivered a large volume of features in approximately four months with a small project team, and subsequent changes to ePerformance templates in February 2018 adjusted how Academic and Professional positions are measured. Governance and rollout emphasized lean change management, a commitment to standard functionality where possible, and a cadence of two Selective Adoption rounds per year. The project was delivered on budget and on time with Presence of IT, now part of Deloitte, as the implementation partner, customer satisfaction reported as overall promising, and a move toward automated testing using the PeopleSoft Test Framework for future updates.

The implementation operates within a centralised process architecture where the contracted Travel Management Company, CTM Travel, acts as the booking agent for University of Tasmania travel. The system scope explicitly covers University council members, staff, students, volunteers, visitors, guests and contractors when travel is University funded, and the procedure notes students and guests who self pay may optionally use the TMC service while bookings for students on arranged University courses must be made through the TMC. Governance for CTM Lightning is anchored in the University Travel Services intranet guidance and the People and Wellbeing, Safety and Wellbeing Team directives, which can override components of the travel procedure. The University retains decision authority over travel appropriateness and centralised booking control, while CTM Lightning provides the operational booking platform and mandatory agent support for University funded travel.
