In 2020, BHP implemented Caseware Cloud Audit as its cloud-based Caseware Cloud solution, deploying a Risk Management application to modernize audit workflows and support remote work. The solution’s collaboration capabilities removed version control concerns, enabling multiple team members to work on the same engagement concurrently.
Integrations and operational coverage were scoped to support secure PBC requests integration for document exchange and client communication in real time, while leveraging Caseware’s cloud architecture to enable remote staffing models. The implementation applied to audit operations across the firm and was particularly adopted by teams already familiar with Caseware server products, which reduced training friction.
Governance and process changes included creation of a sample engagement with fabricated data to accelerate onboarding of new auditors and standardize training, and Caseware professionals supported the transition by resolving file synchronization challenges encountered during rollout. In 2022, Boulay Group moved its engagement files to Caseware Cloud to improve security, operational flexibility and scalability for its audit and assurance operations. Boulay Group is a Minnesota based independent accounting firm with approximately 300 employees offering assurance, tax, risk advisory and employee benefit plan auditing, and this deployment positions Caseware Cloud within the firm’s Risk Management tooling for engagement file storage and practice management.
The implementation centralized Caseware Working Papers within Caseware Cloud while preserving the firm’s established Working Papers workflows and CaseView document creation capabilities, creating a hybrid environment where staff continue to operate in the familiar Working Papers interface against cloud hosted files. The deployment leveraged the Caseware Cloud platform to provide engagement, analytics and practice management capabilities aligned with typical Working Papers workflows.
Technical and security controls configured as part of the rollout included single sign on, multi factor authentication and encryption of files at rest using AES 256, and the platform was selected in part for its API capability to enable future integrations and analytics. Operational coverage extended across Boulay’s national footprint with staff in more than 30 U.S. states and offshore contractors, and the implementation impacted core business functions including audit engagement management, risk advisory, and practice technology operations. Boulay continues to use Caseware IDEA for data analysis and is evaluating Caseware Sherlock and the OnPoint product family for targeted audit methodologies.
The migration began in September 2022 and completed by December 2022, with Boulay’s technology team moving approximately 40,000 Working Papers files to Caseware Cloud in less than four months, and publishing roughly 200 files to the cloud manually after the bulk transfer. Rollout governance relied on a dedicated IT team and a learning and development function that ran cross departmental pilot groups, building on prior file cleanup and SmartSync Server era practices to reduce friction during cutover.
As a result of the Caseware Cloud implementation Boulay established least privileged access controls and added layered access protections for client data, enabling a more centralized approach to account provisioning and password management. The firm cites improved operational flexibility and security as primary outcomes and is using the cloud hosted Caseware Cloud environment to pilot advanced analytics and methodology products such as Sherlock and OnPoint EBP for future practice enhancements.

Operational scope focused on the assurance and advisory teams within the Burlington, Ontario based firm, with managers and preparers engaged in the IDEA pilot and broader suite rollout. The architecture followed a hybrid cloud model, combining on premises Working Papers with Caseware Cloud storage and synchronization to relieve local storage pressure while preserving desktop engagement workflows. PBC Requests introduced a secure client document exchange environment, improving the firm to client workflow for evidence collection and document retrieval.
Governance adjustments included workflow orchestration through Caseware Accomplish and staged rollout of IDEA to managers and preparers experienced with analytics, enabling controlled adoption of data analytic procedures. Reported outcomes included more efficient collaborative editing, reduced risk of file overwrite, and simplified year over year client file rollover through the Caseware Connector.
