In 2018, Aetna Inc deployed Kofax Transformation as part of an Intelligent Document Processing initiative with engagement from Tungsten Automation to centralize document ingestion and extraction workflows. The implementation was grounded in the Kofax suite, including Kofax Capture, Kofax Transformation Module, and Kofax Total Agility, and explicitly targeted finance and business reporting use cases such as accounts receivable and accounts payable automation.
Kofax Capture was installed and configured in standalone and client server modes using KCNS architecture, with batch class creation, batch manager workflows, sample types, index zones, group index zones, PDF generation, and export connectors configured. Custom modules and workflow agents were developed, including COM libraries and extensive scripting to handle challenging document extraction scenarios, and database driven validation and exporting of extracted data to enterprise databases was implemented. Email ingestion and Kofax Import Connector configuration were used for intake of electronic invoices from email and shared folders.
Kofax Transformation activities included project configuration, classification, separation, field extraction, benchmarking against a golden set, use of dictionaries and flat file data sources, and use of formatters and search and match capabilities to reconcile extracted values against master keys. Kofax Total Agility was used to build reusable business processes, extensive validation rules, and custom C# libraries for document sorting and filtering, while Total Agility API and SDK work created synchronous and asynchronous jobs that exposed Kofax functionality to other systems via REST and SOAP. Integrations included placing converted PDFs and images to network paths and invoking external APIs, and embedded Kapow bots were integrated into KTA process cores.
Operational governance covered requirement workshops, technical design documentation, discovery sessions, and creation of roadmaps and business cases to prioritize automation opportunities across multi geographic teams. Configuration of Resources and Personas, setup of email notification functionality, development of asynchronous processes to tune performance, and upgrade planning and health checks were part of the rollout and ongoing support. The Kofax Transformation implementation automated many finance and business reporting processes and provided server synchronous REST responses for downstream ERP systems to consume extracted data.

Application development leverages Visual Studio and languages including C# VB.Net ASP.NET and VBA, while persistence and lookup operations use MS SQL Server and Oracle databases.
Custom applications and processing artifacts are stored in a GitHub repository and the build and release pipeline is automated using Jenkins and Compliance Buddy, following Agile methodologies and DevOps practices.
