The implementation included integration with the customer ERP for invoice posting, with Ocerra monitoring the classification and extraction during the first one to two months to accelerate steady state operations, and enabling invoices to be posted to the ERP in two to three weeks after sign up. In 2019, Oceania Aviation deployed Ocerra AP Automation to automate the processing of approximately 40,000 supplier invoices per year. The cloud based Ocerra AP Automation implementation was scoped to support Accounts Payable, Finance and Supply Chain teams within the aviation business to ensure detailed invoice, transaction and inventory data was captured accurately.
The deployment emphasized invoice capture and PO matching modules, including machine learning driven document recognition to read complex invoice layouts and extract part numbers, serial numbers, batch numbers, descriptions and line level quantities and prices. Ocerra AP Automation was configured with exception handling workflows so the Accounts Payable team only needed to process mismatches or invoices without purchase orders, and custom invoice statuses and labels were created to support operational triage.
A custom integration was built to synchronise master and transactional data with the company accounting system Odoo, enabling automated synchronisation of accounts, suppliers, tax rates, inventory, purchase and job orders.
