In 2015 Hoffman Estates Park District implemented RecTrac as its core system in the ERP Financial category to centralize billing and day to day business operations across the Prairie Stone Club and district business office. The implementation supported finance and member services functions and was positioned to handle high volume membership billing workflows and point of sale transactions for the facility.
RecTrac was configured to support membership management, recurring billing, point of sale cash receipts, facility rental scheduling, and operational reporting. The deployment included document attachment and archival capabilities, a patterns-based end of shift reconciliation process, and credit card front and back end balancing controls. Automation work completed in August 2019 centralized General Ledger documentation within RecTrac so that paper records were no longer retained.
Operational integrations were explicit and operationalized, RecTrac exports were pulled daily into BSA business software for accounting intake and reconciliation, and document attachments were embedded into RecTrac by cross functional teams to close paper record loops. The system was used to prepare monthly billing for over 3,000 fitness and tennis members, to manage pass visit corrections and membership changes, and to capture facility rental and contractual service charge detail for auditing.
Governance and process work focused on tightening cash control and document control, instituting daily reporting and monthly GL balancing routines, and creating a master billing spreadsheet to coordinate collections, EFT updates, and automated customer notifications. Staff training, service desk transaction controls, and chargeback and NSF handling workflows were formalized within the RecTrac driven processes to support consistent month end and audit procedures.
The implementation delivered a paperless documentation outcome for daily General Ledger records and enabled daily accounting extracts into the district accounting workflow. Yearly audits and routine balancing of General Ledger codes for club activity including massage services, group exercise, food services, and salon services were executed using RecTrac sourced transaction detail.
