In 2016, Banco Multiva implemented SAP Payment Engine for Payment Processing. The deployment targeted core treasury, accounts payable, accounting and payroll workflows to centralize reception of invoices and payment records for insurer suppliers and other creditors.
Configuration work in SAP Payment Engine included SAP payments accounting records, filling out Administration, Acquisition and Adjustment Expenses files, preparation of departmental expense files, and management of variations in Administration expenses. Functional capabilities implemented included statement of expenses in 31 Groups for delivery to the financial group, amortization control, registration of VAT transfers, and recording of AMEX commissions, along with policies for layouts, cancellations and manual registrations in SAP.
The implementation integrated creditor management and expense provisions, with named system touchpoints including Reporta Sistemas for accounting records of cancellations due to duplicity, SICOB and SAP for bank reconciliations, and approval flows with SIS for account registrations. Operational tasks performed in the integrated landscape included transfer of creditor balances from banks and cash accounts, purification of bank items supported by email reconciliation and Treasury personal handling, and pre-closing of bank reconciliations.
Governance and operational controls were formalized to support month-end activities, including review and registration of payroll at the end of the month, closing accounting records according to calendar, policies for unidentified deposits in US Dollars and MXN across creditors and deposit premiums, and records of supplier payment policies. The SAP Payment Engine implementation established consistent accounting registration and reconciliation workflows across Treasury, Accounting and departmental expense owners, aligning payments processing with existing financial calendars and internal control procedures.
