Documents are programmatically downloaded and converted to PDFs, files with more than 30 pages are split, then PDFs are uploaded to IQ Bot which is tailored to classify and extract fields that distinguish appraisal forms from flood certification forms. IQ Bot produces a response file as a CSV, which is ingested by an RPA task bot to perform lookups and comparisons and to assemble an output report of items that require human review. Operational coverage centered on the mortgage operations and underwriting pre funding checks, with the automation processing approximately 40,000 documents to date. When the COVID-19 pandemic created constraints on on site staffing and increased call volumes, KeyBank relied on the RPA plus IQ Bot orchestration to absorb additional work without immediate headcount increases. Governance shifted the team from full document processing to an exception handling model where employees review only the items surfaced in the output report. The deployment emphasizes Intelligent Document Processing capabilities such as document classification, field extraction, and CSV based handoff to RPA for downstream reconciliation, and has produced an exception rate of 15 percent on the automated workflow.

According to the vendor release, the solution reduced application processing and approval times from as much as seven days to less than an hour and delivered near real time status visibility to lenders.
