The implementation centered on Transportation Management capabilities typical of ORTEC Routing Suite, including vehicle routing optimization, dispatch scheduling, trip planning, load consolidation and standardized loading and unloading tariffs. Configuration work included setting automated journey time calculations and driver payment logic, and establishing load utilization targets and constraints to reduce miles driven and provide cost per customer, trip and carrier visibility. Operational coverage included Agrifirm’s Belgium and Netherlands operations, planners and third party carriers, and the company’s central planning function. Planner Glenn Donckers led operational use and tuning, and the system supported rapid replan and exception handling for driver illness, traffic disruptions and changes to customer requirements. The solution extended governance to haulage partners by producing consistent trip metrics and equalized driver payments, which reduced disputes between drivers and among carriers. Process and governance changes formalized standardized tariffs for loading and unloading times, automated driver payment rules that do not make exceptions for congestion or weather, and introduced carrier incentive mechanisms tied to load utilization. Planning resource requirements were restructured, moving from a full time planner to an average of two days a month for planning activities, and the company began using outcomes data to encourage carriers to optimize their operations. Agrifirm reported concrete operational outcomes after deployment of ORTEC Routing Suite and Ortec Transport & Distribution, including a reduction in fleet underutilisation to 17 percent in 2012 and an increase in load utilization from 26.7 to 27.0 tonnes. Reported financial outcomes included an initial saving of around 20K from improved load utilization, loading and unloading related savings of 8K and 30K respectively, and a planning labour cost reduction equivalent to 35K.
