Association of Illustrators Professional Services 7 $1M United Kingdom GoCardless GoCardless Subscription and Recurring Billing 2019 n/a In 2019, the Association of Illustrators implemented GoCardless for Subscription and Recurring Billing to streamline monthly membership collections across a membership base of approximately 2,500 members, about 15% of whom are based outside the United Kingdom. The association offers six tiers of membership and uses monthly Direct Debit as a core billing cadence, making a subscription-focused billing platform a functional priority for membership operations and finance. The GoCardless implementation centralized Direct Debit automation and online mandate capture, enabling electronic setup for members and providing finance staff with consolidated visibility into payment collections. GoCardless delivered SEPA support for European members and automated the recurring billing lifecycle, reducing manual mandate handling and simplifying the customer onboarding flow for paying members. Operationally the Association of Illustrators integrated GoCardless with its web storefront, using GoCardless for WooCommerce to connect online membership signup and payment processing. Prior to this deployment the association used SmartDebit, which lacked automated Direct Debit setup and pan-European SEPA coverage, and the internal web development resource identified GoCardless as an affordable, implementable replacement that fit the association’s membership e-commerce workflow. Governance and rollout focused on digitalizing mandate creation and shifting payment reconciliation to the finance team’s visibility within the GoCardless platform, with member-facing setup moved entirely online. The Association reported explicit outcomes including a 100% increase in members paying by Direct Debit, growth from roughly 700 to over 1,400 Direct Debit payers within the year, easier access to SEPA for European members, and simplified online payment setup for members, outcomes the association cited as supporting future scalable membership growth.
Association of Illustrators Professional Services 7 $1M United Kingdom Sage Sage 50cloud ERP Financial 2018 n/a In 2018, the Association of Illustrators implemented Sage 50cloud as its ERP Financial application to centralize accounting for membership and event revenues. The deployment focused on core financial workflows used by the small finance team and a temporary Freelance Finance Officer who supported the Finance Director during the World Illustration Awards 2018 launch in London. Sage 50cloud was configured to handle accounts receivable, retrospective sales invoicing, multi currency receipt processing, and bank reconciliation workflows typical of ERP Financial systems. During the WIA engagement the team processed receipts in pounds, dollars, and euros, recording total event income of £105k from over 3000 entries, and raised retrospective sales invoices where required. Regular recurring membership payments were posted through the ERP Financial ledger and matched to GoCardless settlements. Integrations were executed at the transaction level, reconciling payment portal reports from Global Iris to Sage 50cloud and matching GoCardless direct debit reports to the accounting ledger. One off payments from Global Iris and recurring direct debit flows from GoCardless were captured and reconciled into Sage 50cloud, with transactions posted to membership income accounts. The membership database was updated in parallel to maintain member records as transactions were processed. Operational coverage included event finance processing, ongoing membership billing, and credit control for outstanding memberships, with the Freelance Finance Officer performing reconciliation and credit control tasks during the peak period from February 2018 to March 2018. Governance centered on transaction reconciliation between payment portals and the Sage 50cloud ledger, and maintenance of membership records to support accounts receivable and collections workflows. The implementation narrative links Association of Illustrators Sage 50cloud ERP Financial to finance and membership operations.
