In 2015, Natural Resources Canada implemented Artsyl docAlpha to automate payables capture and processing. The Natural Language Processing deployment targeted accounts payable where the agency processed 90,000 supplier invoices totaling over 700 million Canadian dollars annually, shifting effort away from manual data entry and tracking and toward automated verification and matching.
Artsyl docAlpha digitizes scanned paper payables documents and digital invoices, applying document classification and intelligent data extraction for fields such as supplier name, date, line item reference, unit price, quantity, amount and HST type. Connectis Group configured workflow rules inside Artsyl docAlpha to support automated purchase order and delivery slip matching, approval routing, exception routing and Section 34 verification with electronic signatures, and the solution was implemented to validate and prepare records for accounting posting and archival.
The deployment integrated Artsyl docAlpha with the agency SAP/R3 accounting system for payment allocation, invoice approval, accounting entries and document filing, creating an end to end capture to payment release flow. Connectis Group provided the technical implementation and translated NRCan requirements into a working invoice automation solution more rapidly and cost effectively than customizing SAP/R3.
Governance controls were embedded in the automated workflows to meet NRCan legal and security requirements, enforce audit controls and provide 100% liability tracking and process transparency. Automated exception handling standardized responses to incomplete or incorrect invoices and simplified manager verification through electronic routing and signatures, restructuring day to day AP processes and approval workflows.
As a result of the Artsyl docAlpha implementation NRCan reduced invoice cycle times by 75% and enabled accounts payable clerks to process invoices within payment terms. Additional documented outcomes included rapid SAP/R3 integration, automated exception handling, simplified Section 34 verification with electronic signatures and complete process transparency.
