| Sage | Legacy | Sage 300 ERP (formerly Accpac) | ERP Financial | ERP Financial Management | n/a | 2018 | 2018 |
In 2018, Australian Grand Prix Corporation deployed Sage 300 ERP (formerly Accpac) as its ERP Financial system, integrated with Sage CRM to centralize corporate customer and financial data. The initiative addressed fragmented sales processes that relied on old CRM packages and spreadsheets which impeded data sharing with finance and caused double handling and occasional discrepancies.
The implementation emphasized core financial modules including invoicing and general ledger processing, together with customer sales and sponsorship recordkeeping managed through Sage CRM. Out of the box integration was used to automate the flow of sales information from Sage CRM into Sage 300 ERP for invoicing and general ledger updates, reducing manual entry and aligning commercial and finance transaction records.
Deployment followed a three phase rollout managed with the local Sage partner Enabling, with Sage CRM going live in phase one, Sage 300 ERP in phase two, and an organization wide replacement of departmental contact spreadsheets in phase three. Operational coverage extended across sales, commercial and finance teams, and the combined Sage CRM and Sage 300 ERP environment created a single data repository to support order management, invoicing and statutory reporting workflows.
Governance and process change focused on consolidating contact and sales workflows into the CRM layer so finance consumed transactional data directly from the ERP, improving timeliness and accuracy of financial reporting. The organization reported improved operational efficiency and faster collaboration between sales and finance, and leadership emphasized the need to adapt quickly due to a complex product mix and temporary venue operating model.

The implementation was led through a formal HRIS project management role reporting to the Senior Manager, People and Capability, with the HR Systems Project Manager responsible for project delivery and ongoing system ownership.
Ascender Preceda was configured to support Core HR workflows including employee records management, employee self service access, leave and pay request handling, and payroll data entry workstreams. The effort emphasized configuration and data entry processes for new staff and contract changes, plus formatted PCC workforce reporting and preparation of workforce data for inclusion in Board papers.
Operational coverage centered on the People, Culture and Capability team, with the HR Systems Project Manager providing system maintenance, frontline support for staff experiencing system issues, and problem resolution. The role was based in Melbourne and included management of the team inbox to triage leave and pay queries and to escalate issues to relevant managers.
Governance and rollout relied on established project management frameworks and tools, with responsibilities split between project delivery and ongoing operational support. Ascender Preceda was used alongside the organisation's payroll system, with the HR team handling payroll data entry and maintaining the integrations between Core HR records and payroll input files.

| Cisco Systems | Legacy | Cisco Webex Meetings | Audio Video and Web Conferencing | Collaboration | n/a | 2019 | 2019 |
In 2019 Australian Grand Prix implemented Cisco Webex Meetings as its primary Audio Video and Web Conferencing solution and exposes Webex functionality directly on its public website for remote access to event and corporate sessions. The deployment centers on Cisco Webex Meetings, with the application name Cisco Webex Meetings reiterated as the customer facing conferencing tool. This placement establishes Webex as the standard conferencing layer for online attendee access and staff meeting facilitation.
The implementation leverages standard Audio Video and Web Conferencing capabilities, including multi-party video meetings, screen sharing, cloud recording, and calendar based scheduling and participant management, delivered through Cisco Webex Meetings clients and browser access. The architecture follows a cloud hosted SaaS model consistent with Webex, enabling browser and mobile endpoint connections rather than on premise media servers. Configuration emphasis is on meeting templates, scheduling policies, and recording retention controls to support event workflows.
Operational scope covers event operations, corporate communications, sponsorship engagement and hospitality coordination at Australian Grand Prix, using Cisco Webex Meetings to coordinate planning and to provide remote access for stakeholders. Governance focuses on centralized account administration, meeting policy enforcement and public web provisioning of meeting entry points, with rollout oriented to staff who manage events and external guest interactions. The deployment positions Cisco Webex Meetings as the primary Audio Video and Web Conferencing platform for the organization.
