In 2015, dnata Australia deployed Converga InvoiceMe for AP Automation to centralize invoice intake and processing across its Australian catering operations. The rollout covered corporate finance oversight in Broadbeach and supported a geographically distributed footprint spanning nine cities and 15 catering facilities that service airline customers, aligning the Converga InvoiceMe AP Automation deployment with Accounts Payable and related finance functions.
Converga InvoiceMe was configured to provide electronic scanning and image capture, supplier statement management, exception queueing and escalations, and workflow controls for invoice investigation and approval. The configuration emphasized transaction level controls and reconciliations, with staff responsibilities including statement reconciliation, GRNI account reconciliation, and data cleansing to keep invoice and supplier data synchronized.
The implementation included explicit integrations between Converga InvoiceMe and enterprise ERPs, with data exceptions and posting flows directed to QAD and to JD Edwards EnterpriseOne. Operational processes documented include raising queries for out of balance supplier statements, bi weekly provision of costs to Accounts Receivable for on charging to airline customers, and handling of data exceptions from Converga to QAD and JDE for downstream posting and reconciliation.
Governance and operational ownership were structured around the Manager Payables and an Accounts Payable team that trains, mentors and monitors an offshore processing group, manages escalated supplier and internal enquiries, liaises with Procurement and Item Master teams for pricing maintenance, and supports month end close activities. Converga InvoiceMe is referenced by dnata Australia as the AP Automation application supporting Accounts Payable, Accounts Receivable, Procurement and Finance workflow orchestration.
