In 2012, Domtar implemented SAP Concur Expense as a SaaS Travel & Expense solution, deploying the application to consolidate expense management under the Expense Management category. The implementation was one of several IT mandates at Domtar during that period, occurring alongside BI analysis and data visualization work and HR SaaS projects where IT served as an internal representative.
The SAP Concur Expense deployment focused on core Expense Management capabilities, including electronic expense reporting, travel booking capture and receipt imaging, approval workflow automation, and policy enforcement and auditing. Configuration work emphasized standardizing expense types, approval hierarchies, and automated validation rules to align with corporate travel and finance policies.
Operationally the project was positioned to support finance and travel management workflows across Domtar, with IT coordinating configuration and change management activities. The Concur implementation ran in parallel with an HR Compensation SaaS project and a separate supply chain information exchange initiative between SAP and BAAN, with IT resources shared across these programs to maintain integration and data consistency at the business process level.
Governance for SAP Concur Expense centered on cross-functional sponsorship from IT and finance, with IT staff acting as the implementation representative and driving process redefinition for expense submission and approval. Rollout planning included stakeholder alignment with finance and travel teams, centralized configuration control, and procedural updates to support the new SaaS expense platform.

In 2013, Domtar implemented Workday HCM as its Core HR solution, converting from SAP HCM to centralize human resources and payroll processes. Workday HCM was configured to support Core HR capabilities alongside payroll and tax compliance controls, with explicit configuration to align system behavior to legislative requirements across jurisdictions. The program included development of an alerting tool to notify employees and travelers approaching maximum foreign stay thresholds, and design of standardized immigration policy and process flows to manage international assignments and reduce compliance exposure.
The rollout covered functional domains including HR, payroll, global mobility and compliance, with business requirements gathering, impact analysis and risk assessments conducted for North America, Europe and Asia Pacific. Project teams established collaborative relationships with external vendors to improve service quality and to operationalize immigration and payroll controls within the Workday HCM deployment.
Governance reforms accompanied the technical implementation, with the Sr. Analyst serving as subject matter expert to close compliance gaps and to codify new processes. The implementation reduced exposure to fines and penalties by aligning system configurations and policy with mandatory immigration laws, increased Domtars ability to manage international workforce footprint, and created a repeatable compliance framework within Workday HCM.
