Grafton Group implemented SoftCo eBilling in 2013 to centralize AR Automation for customer billing and supplier invoice processing across its European operations. The deployment targeted billing and accounts receivable functions within the group, using SoftCo eBilling as the primary portal for customer document delivery and statement issuance, and extending supplier invoice automation into finance and procurement workflows.
The SoftCo eBilling implementation included automation of supplier invoice processing and the issuing of customer invoices and statements through the SoftCo portal, aligning document generation, electronic delivery, and dispute routing within a single application. Configuration focused on electronic document delivery, statement batching and portal-hosted customer access, with process automation applied to reduce manual billing tasks and speed customer communications.
Integrations were explicitly implemented with electronic proofs of delivery and the group’s ERP systems, enabling invoice issuance that referenced POD data and synchronizing invoice and payment status back to the ERPs. Operational coverage included finance, accounts receivable and billing teams across multiple European sites, using SoftCo eBilling as the hub for invoice distribution and electronic receipting.
Governance emphasized standardized billing workflows and centralized document delivery through the SoftCo portal, with process changes to accommodate e-billing and electronic POD reconciliation. Outcomes reported included major reductions in billing costs and shorter debtor days across Grafton Group’s European operations, reflecting the combined effect of AR Automation, portal-based customer delivery and ERP integrated invoice processing.

| The Access Group | Legacy | Access PeopleXD (formerly CoreHR) | Core HR | HCM | n/a | 2013 | 2013 |
In 2013 Grafton Group selected Access PeopleXD as its Core HR platform following a formal vendor review, initiating a move to a single cloud-based HR and payroll platform. The decision addressed a fragmented environment where payroll, timesheet and workforce functions were managed across multiple non-integrated systems and required consolidation across the group and its subsidiaries.
Implementation centered on a cloud deployment of Access PeopleXD, with configuration focused on Workforce Management capabilities including rostering, high-volume timesheet processing and onboarding automation, together with the Analytics module for real-time reporting. Grafton also adopted complementary Access products such as Access Learning and Access Volcanic to extend talent and learning management, and the platform’s scheduled biannual product updates were used to incrementally expand functionality.
Rollout was executed with centralized program governance, led by a single project manager and supported by specialised product teams from Access People and Grafton’s HR stakeholders, with the first live site at Selco in July 2014. The deployment covered multiple operating companies and cross-border HR processes across four countries, and was structured to allow devolved HR administration so individual business units retained configurable autonomy while operating on the same core platform.
Operational impacts noted after the Access PeopleXD implementation include centralized and automated rosters for unified workforce visibility, onboarding efficiency for high turnover units, and Analytics-driven decision making such as bonus calculations. Reported adoption rates reached 69% on desktop and 28% on mobile, and Grafton cited improvements in employee retention and GDPR compliance as direct outcomes of running Access PeopleXD as the group Core HR system.

| Microsoft | Legacy | Microsoft 365 | Collaboration | Collaboration | n/a | 2019 | 2019 |
In 2019, Grafton Group implemented Microsoft 365 to provide enterprise Collaboration across its organization. The implementation positioned Microsoft 365 to support corporate communications, document management, and collaboration workflows for Grafton Group Microsoft 365 Collaboration business functions.
The Microsoft 365 rollout encompassed core Collaboration services including Exchange Online for email and calendaring, Microsoft Teams for real-time chat, meetings and channel collaboration, SharePoint Online for intranet and document libraries, and OneDrive for Business for personal file storage. Configuration work included tenant provisioning, license management, mailbox and Teams provisioning, SharePoint site architecture, and policy configuration aligned to collaboration and content lifecycle needs.
Identity and access were managed through Azure Active Directory for single sign-on and centralized access controls, consistent with Microsoft 365 deployment patterns. The operational scope targeted corporate functions such as IT, HR and finance, and the corporate website references the use of Microsoft 365.
Governance practices established centralized administration roles, Teams lifecycle and provisioning controls, and compliance settings such as retention and basic data protection controls common in Collaboration deployments. These measures supported ongoing operational management of Microsoft 365 across Grafton Group without specifying external implementation partners.
