M-Files Legacy M-Files Document Management Content Management n/a 2024 2024
In 2024, HEB Construction implemented M-Files as its Document Management solution to centralize project documentation across its tier one civil construction operations in New Zealand. The deployment targeted a predominantly field-based workforce working on roads, bridges, ports, buildings, maritime projects and maintenance contracts, where quality and health and safety compliance generate large volumes of paperwork across urban, semi-urban, and rural sites. The M-Files implementation emphasized a metadata-driven document repository, document capture and indexing, version control, automated approval workflows and mobile access for site teams. M-Files provides a 360-degree view of all projects, partners, suppliers, and documentation, enabling structured project records and a single source of truth for compliance artifacts and contract documents. Operational coverage unified site crews, project managers and administrative staff around standardized project folders and document lifecycles, reducing the burden of manual collation at project close. The configuration focused on searchable metadata, role-based access controls and workflow orchestration to support quality and health and safety processes without requiring named system integrations. Governance work included standardizing metadata schemas and document lifecycle policies to enforce consistent recordkeeping and approvals. The rollout demonstrated concrete benefits during proof of concept, with $80,000 travel cost savings reported and digitization shown to save three months, the average time it can take to manually collate 90 boxes of documents at the end of a project. These outcomes reinforced M-Files as the central Document Management platform for HEB Construction's project and compliance information.
