Functional workflows were aligned to common payables tasks documented by staff, such as researching quantity and catch weight variances, clearing or aging open purchase orders, and month end reconciliation of petty cash and will call cash drawer.
Operational deployment was executed to operate alongside existing SAP VIM and FOOD STAR invoice handling practices, reflecting staff proficiency with those systems and continued interaction with the broader payables ledger. The solution interfaced with the corporate payables processes used by inventory control, buyers, and vendors, and was used as the platform for generating weekly, monthly and annual reports for executive management and for state tax reporting responsibilities.
Governance and process changes centered on embedding SOX compliance checks into approval gates, standardizing documentation of bills of lading and receiving audits, and formalizing workflows for vendor setup and invoice exception resolution. Day to day operations required accounting staff to reconcile reports, maintain payable files, and provide ongoing peer support for invoice processing within the OpenText Vendor Invoice Management environment.

Operational scope covered HR and risk compliance activities for a distribution center population of roughly 225 employees under direct administration, with leadership support extended to a Maryland facility and a New Jersey location. Governance changes included centralized HRIS ownership for LOA processes, direct administration of payroll and benefits from the HR and Risk Compliance function, and supervisor-driven enforcement of safety and attendance accountability that tied back into absence case workflows.
The integration of ADP Total Absence Management and adjacent ADP HRIS modules is credited in internal records with significantly improving the efficiency and accuracy of recruiting, onboarding, payroll, leaves of absence, and benefits administration.
