In 2020 Rentokil Initial deployed Workday Absence Management as part of a broader Workday HCM program, addressing Absence and Leave Management requirements for its UK workforce of approximately 4,000 employees while operating within a global HRIS remit. The Workday Absence Management implementation was delivered alongside Workday HCM, Compensation and Expenses, forming a cohesive absence, pay and expense workflow within the Workday suite.
Configuration work included redesigning and building more than 80 to be processes to simplify and consolidate inconsistent local procedures, and a simplification of the job profile framework that reduced the number of agreed roles by 150. Workday Absence Management was configured to align with these consolidated processes and termination workflows, embedding absence and leave entitlements, accrual rules and absence reporting consistent with the new process model.
Integrations implemented as part of the deployment included a redesigned payroll interface, PICOF, reengineered with XML and XSLT in collaboration with the UK payroll provider NGA to resolve prior interface failures. The deployment also established Business Assets in Workday to provide a linkage between Workday and ServiceNow, and to incorporate asset reconciliation into the termination process to reduce lost assets when employees leave.
Programme governance was delivered using the Scrum framework with Product Owner responsibilities, and tooling including Jira and Confluence to manage sprints and development accountability. Testing and data cleansing, extraction and validation strategies were defined to support a right first time approach, and a UK change management strategy was created to drive acceptance, contributing to the broader effort to convert a previously underperforming HR system into a high performing Workday HCM environment with higher engagement.

Epicor Kinetic was implemented with integration capability for external systems, and the company reported easier onboarding of new warehouses and new EDI partners, improving orchestration across pest and hygiene operations.
