In 2019, RMIT University implemented Workday Accounts Payable as part of an AP Automation initiative within its centralized shared services finance structure. The deployment was aligned with a broader restructure that established an Operations Support function responsible for the Workday Finance System, Finance Connect call centre Tier 1, Accounts Receivable, Credit, Accounts Payable, Expense Management card services, Purchasing and Banking.
Workday Accounts Payable was configured to deliver core AP Automation capabilities including supplier invoice capture and processing, approval routing, supplier master data stewardship, and in system dashboards to provide budget owners simplified real time financial visibility. Configuration and process work emphasized master data governance and reporting to support financial control and operational transparency.
Operational integrations included ServiceNow enabled communication channels using live web chat, phone and ticketing to provide Tier 1 Finance Connect support and to manage functional support requests for Workday Finance. The implementation covered shared services and finance teams based in Melbourne and incorporated continuous improvement activities both before and after go live.
Governance and rollout were managed through a change program that restructured shared services, established the Operations Support team, and implemented governance protocols to mitigate risk. Ongoing operational discipline included bi-annual Workday upgrades, scheduled enhancements, and sustained functional support for finance processes.
Documented outcomes from the program include expansion of the shared services remit to incorporate Workday Finance systems, Finance Connect Tier 1 support, Banking and Purchasing, successful remote implementation during Covid, development of in system dashboards for real time access to financial data, and formalised governance protocols.

In 2020, RMIT University implemented Workday Benefits as the central Benefits Administration platform. The Workday Benefits deployment formed the core of a unified Compensation and Benefit Management solution that RMIT designed to span its global entities and HR operations.
The implementation included configuration of Workday Benefits alongside Compensation and Benefits modules, a streamlined variable incentive solution, and a fit for purpose job architecture to support long term HR platform consistency. Day to day system activity included release priority management for Compensation and Benefits modules, incident management, break fix resolution and enhancement configuration under a centralized functional lead.
Integrations and operational coverage were structured to align HR, payroll and finance, with explicit partnership across Finance, Security, integrations, data and reporting functions to enable end to end benefits administration workflows. Workday Benefits was integrated into broader HCM processes and supported enterprise wide recognition and benefits solutions for multiple RMIT entities.
Governance was operationalized through a Compensation and Benefits functional lead who coordinated release priorities, cross functional change management and support for other HCM modules where necessary. The program emphasized joint ownership between HR, payroll and finance teams to sustain ongoing configuration, support and enhancements to Workday Benefits.

In 2016, RMIT University implemented ARCHIBUS by Eptura as its central Facility Management application across Property Services and Facilities Services. The deployment established a single system of record for the university asset portfolio, consolidating maintenance management workflows, asset registers, and lifecycle planning under ARCHIBUS by Eptura.
Configuration centered on maintenance management and asset lifecycle capabilities, including planned preventative maintenance scheduling, management of Essential Safety Measures, and long term asset lifecycle forecasting. The implementation included structured ingestion and upload of asset lists, service regimes, scheduling rules, lifecycle data, warranty and defects liability periods, O&M manuals, and As Built drawings to ensure high fidelity in the ARCHIBUS asset database.
Operational integrations and coverage were implemented to support campus-wide facilities operations, with ARCHIBUS interfacing functionally alongside the CAMS lifecycle management system to align maintenance execution and lifecycle planning. The system was used for end to end invoice processing and financial tracking within Facilities Services, for contractor SLA monitoring, and to produce reporting required by internal stakeholders and external bodies such as TEFMA and State and Federal government agencies.
Governance and process changes accompanied the rollout, with a team of subject matter experts established to maintain asset data quality and to support ISO55001 aligned audit processes and continuous improvement of the asset management system. Operational responsibilities captured in ARCHIBUS supported the annual 40 year asset lifecycle program and large scale building condition audits, and an explicit operational outcome recorded during the program was the clearance of three months of backlogged Facilities invoices within one month following a system upgrade.
