In 2014, Staples implemented Oracle PeopleSoft Absence Management as part of a broader PeopleSoft HCM program. The Oracle PeopleSoft Absence Management deployment was executed to centralize absence and leave workflows under the Absence and Leave Management category and to align leave processing with Core HR, Payroll and Benefits operations.
Configuration work encompassed functional setup of Core HR, Position Management, Time and Labour, Base Benefits, Payroll, Employee Self Service and Manager Self Service, plus Enterprise Learning Management components. Implementation details included extensive PeopleCode development at the field level for validations and business rules, Application Engine and data conversion logic to extract HR, Benefits and Payroll data, and test coverage delivered through PeopleSoft Test Framework with authored test plans and scripts.
Integrations were defined with the finance stack and external payroll feeds, specifically oracle AP GL interfaces and ADP feed extraction into PeopleSoft, with process design for commitment accounting and interface mapping. The program also documented technical options and contemplated a passage to Workday technical integration as part of future HCM architecture planning, while maintaining operational interfaces to downstream finance and payroll systems.
Governance and rollout used formal requirements and delivery artifacts, including Business Requirement Documents, Functional Requirement documents, User Requirement Specifications and Change Requests, and Agile informed delivery with JAD sessions involving management, subject matter experts, vendors and offshore teams. Training and logistics for Oracle based training were organized, data validation and QA activities were performed, and upgrade activity for PeopleSoft HCM was executed including moves from 9.0 to 9.2.
The implementation positioned Oracle PeopleSoft Absence Management to manage absence lifecycle workflows across HR, payroll and benefits functions at Staples, with configured absence processing integrated into broader HRMS interfaces and governed through documented BRD FRD and testing regimes.

Configuration focused on invoice upload and processing, fee arrangement management, and timekeeper and rate submission controls. Onit SimpleLegal CounselGO was used to onboard outside counsel and vendors, enforce fee arrangements, and provide standardized eBilling validation and approvals, aligning with standard Legal Time and Billing workflows for matter-level cost capture and invoice exception handling.
Operational integration included active liaison with Staples finance groups for budget preparation and financial reporting, and handling of international wire transfers as part of invoice settlement. The implementation interfaced operationally with Staples matter management and contract management systems, and the legal department maintained administrative control of adjacent tools such as LexisNexis and Workshare to support research and document comparison processes.
Governance and process changes established a global point of contact model for SimpleLegal, with a Senior Legal Administrative Assistant and Legal Operations Sr. Manager coordinating outside counsel onboarding, rate submission, invoice processing, and finance reconciliations. These governance roles centralized responsibility for matter-level billing controls, vendor onboarding, and routine financial reporting within the legal operations function.
