In 2021 Avara Foods implemented Document Logistix Document Manager to centralise and digitise Human Resources records, adopting a Document Management solution to standardise HR processes and improve compliance. The deployment was scoped for HR Shared Services and configured to manage approximately 500,000 documents representing 15,500 employee records across a 7,000 person workforce, supporting a 110 person HR organisation with a mix of heavy and light system users.
Document Logistix Document Manager was configured with capture and indexing workflows to create word searchable pages, user configurable dashboards for role specific views, and a mail merge facility to communicate with large populations of staff. The solution includes time stamped audit trails, redaction capabilities for subject access requests, retention automation to purge leavers after prescribed periods, and configurable access controls so folders and files are assigned only to authorised population groups.
Operational implementation included a large scale back scanning exercise using Document Logistix’s scanning bureau and bulk document import, with more than 250,000 legacy documents imported and an additional quarter of a million files added within fourteen months, resulting in a repository holding over 2,000,000 pages. The Document Manager instance integrates with Avara Foods third party HR system Mitrefinch to align document records with HR master data, and it handles ongoing throughput of roughly 30,000 HR documents per annum.
Governance and rollout were managed through a super user group that vetted new workflows and standardised forms to enforce filing accuracy and lifecycle visibility. The implementation addressed cultural and operational change, provided instant evidence for internal and external audits, reduced reliance on paper, improved speed of document retrieval, and enabled HR teams to identify gaps in personnel records and enforce compliance obligations such as GDPR and mandated training.

In 2022, Breedon Group implemented Document Logistix to introduce a Document Management capability into its HR technology stack. The engagement was executed under an interim HR Operations and Systems remit and progressed through tender, contract negotiation and a go-live deployment to the wider HR community.
The implementation delivered the Document Logistix DLX module embedded within the i-Trent human capital management platform, with configuration oriented to HR document capture, indexing, secure storage, retention workflows and record linking to employee profiles. Document Logistix was configured to support onboarding document flows alongside existing i-Trent employee records and to surface document links within HR operational screens.
Integration work explicitly included API-level connections already established between the new Pinpoint applicant tracking system and i-Trent, with Document Logistix deployed to harmonize document workflows across recruitment, onboarding and payroll processes. Operational scope covered HR, the UK Payroll Team, and the merged National Insurance and Republic of Ireland payroll streams that were brought into the i-Trent UK Payroll team during the same program.
Governance and process changes were driven by HR executive decisions to form an HR shared services model and to integrate payroll into HR, these recommendations were accepted and incorporated into the rollout plan. The program also included negotiation and renewal of a five year i-Trent contract and the controlled deployment of Document Logistix to HR users as part of a broader systems consolidation effort.
