Governance and ongoing administration were centralized in IT with reporting to the CFO and operational support provided by the five person team across all covered sites.

Configuration work focused on templating and automated approval workflows for contract management and HR records, and on enabling full text search and controlled access policies to support compliance and operational efficiency. The DocuWare implementation integrated with the company’s COINS ERP system and Microsoft Office 365 to enable document routing from core business systems and to embed document access into office productivity workflows. Operational scope extended across the business, with primary administration at Head Office and role based access provisioned for finance and operational teams to support cross functional document lifecycles. Governance and rollout were led by the IT Project Manager using project management, business analysis and change management disciplines, applying PRINCE2 principles and an agile mindset with Scrum practices. The IT Project Manager engaged business steering groups to align configuration and migration sequencing with stakeholder priorities and to coordinate the broader cloud adoption activities.
