Governance changes included formalizing desk booking as the primary office attendance mechanism, assigning neighborhood access rights by team, and using capacity controls to respond quickly to changing occupancy rules and movement policies within the building. The system was also used to support contact tracing workflows by capturing booking records tied to individuals and locations. Outcomes reported in the case study included smooth and rapid onboarding, broad employee acceptance with a majority preferring the structured flexible model over unstructured hot desking, executive adoption of shared workstations, and use of Condeco analytics to produce day by day occupancy reports which identified Thursdays as the busiest office day.

The implementation was configured to interoperate with the company’s Microsoft estate, including Active Directory, Microsoft 365, Azure, Microsoft Exchange and Microsoft Teams, enabling coordinated user authentication and calendar-aware booking workflows. The environment sits alongside endpoint and device management tools managed by the IT team, including Microsoft Intune and Endpoint protection, to ensure consistent account provisioning and device-level access control. Operational governance was run through the internal Service Desk and Change Advisory Board, with the Service Desk team leader overseeing rollout, user onboarding and ongoing support. The programme leveraged existing onboarding and M365 tenant onboarding processes to bring new sites and users into the Eptura Condeco booking environment, and support responsibilities were absorbed into routine IT service management and continuous service improvement practices.

Operational scope included Facilities and Estates for workspace tooling, and Finance and Billing for the SAP, Target and CMOS interfaces that support customer billing and payment posting. Governance and rollout relied on facilitated workshops to elicit AS IS process models, identify gaps between business processes and systems, and translate requirements into executable artifacts. Stakeholder identification and iterative refinement were used to move features into PI, with process maps and dataflow diagrams used to define orchestration and handoffs between Condeco, Tramps and SAP billing systems. Outcomes stated by the project included a successful upgrade of Condeco to the SaaS version, successful automation of journalizing from Tramps into SAP which removed manual intervention, and implementation of Target billing System and CMOS SAP billing changes for household and non household customers improving transparency and aligning charging practices with sector best practice as defined by OFWAT.
