Configuration of HiBob HR focused on core employee records and onboarding workflows, including equipment provisioning and time off and TOIL booking, and the platform was used to operationalize the employee share process required for NASDAQ registration. HiBob HR was also configured to create and automate regular employee satisfaction surveys and to produce SLT and Board level analytics, with reporting templates developed in partnership with Finance.
The implementation synchronized HR data that had been spread across multiple paper and digital sources, implementing multiple identifier fields to enable consistent data manipulation and consolidated reporting. HiBob HR was integrated operationally with Workable as the recruitment management system to streamline candidate to hire data flows, and Legal and QA teams were engaged to embed compliance controls into HR workflows.

The implementation supports approximately 1,300 employees across Gallagher operations in New Zealand, Australia, Asia, Africa, the USA, Canada, the UK and Europe, and is administered through the People & Brand squad.
HiBob HR was configured to centralize the core HR data model and employee lifecycle management, covering hire to exit workflows, onboarding checklists, position and role records, absence management, and self service profile updates. Configuration emphasized modular roll outs and upgrade management, with a dedicated People Tech HRIS Specialist assigned to oversee module roll outs, system configuration, and routine upgrades. The implementation included configurable workflows and automation to streamline approvals and manager driven HR tasks.
Architecturally the deployment follows standard cloud Core HR patterns, with centralized HR data storage, role based access controls, and controls designed to meet data protection requirements such as GDPR. The design anticipates integration touchpoints with payroll, timekeeping, and identity provider systems and supports HR analytics and reporting for People & Brand, HR operations and local managers. Operational coverage includes on site HRIS administration in Hamilton, Waikato and coordination with regional HR teams across Gallaghers global footprint.
Governance established an HRIS administration function led by the fixed term People Tech HRIS Specialist in a 12 month assignment to cover parental leave, responsible for configuration governance, change control, and data quality stewardship. Rollout governance used phased module release, targeted user training, and continuous improvement workflows to align system configuration with people processes and policies. Ongoing responsibilities include supporting upgrades, ensuring compliance with data protection regulations, and driving enhancements to the employee system experience.

In 2022, GoCardless implemented HiBob HR, a Core HR application. The deployment was led by a People Systems Engineering Manager embedded in People Operations, who held responsibility for global People Systems and for the continuous operational service of the HR system.
The implementation emphasized Core HR capabilities including centralized employee records, onboarding and offboarding workflows, organizational charts, role and permissions provisioning, and workflow automation to reduce manual intake. Configuration work included development of new HR frameworks from scratch and end to end setup of automation to support hiring, access provisioning and travel approval processes.
HiBob HR was integrated with the company single sign on solution Okta, the recruitment platform Greenhouse, and the travel booking tool Corporate Traveller to enable identity provisioning, candidate to employee record synchronization, and travel related approvals and policy enforcement. Integrations were designed to reduce latency between business systems and to sustain operational continuity across regions including the UK, US, France, Germany, Australia and Latvia.
Rollout and governance involved cross functional requirement gathering across departments and locales, establishment of centralized HR process governance, and assignment of day two operational ownership within People Operations. The implementation expressly targeted time and cost savings for the business while providing ongoing support and data integrity controls for people workflows.
