In 2017 Ethos Veterinary Health implemented IDEXX SmartFlow as part of a hospital-wide move to a paperless Patient Management environment. The implementation was coordinated from the Sacramento hospital director office and executed across multiple clinical sites, including Vista Veterinary Specialists in California and the Veterinary Emergency + Referral Center in Hawaii during a period of concurrent leadership transitions.
IDEXX SmartFlow was configured to support SmartFlow Sheet clinical flow documentation, electronic patient tracking, and exam room orchestration to replace paper charts. Configuration work focused on translating existing standard operating procedures into workflow templates, establishing electronic flow sheets for nursing and technician task management, and aligning clinician handoffs and procedure queues with the new patient management workflows.
The IDEXX SmartFlow deployment ran alongside concurrent projects for EzyVet, Rocket PACS and rVetlink as part of the broader paperless program, producing operational alignment between practice management, imaging and referral communications. In 2018 Southern Veterinary Partners implemented IDEXX SmartFlow as its Patient Management application to structure front desk and clinical visit workflows. The deployment concentrated on visit lifecycle orchestration for welcoming clients and pets, scheduling appointments for new and existing clients, triage intake, exam room flow and check out including detailed payment option processing.
Configuration work emphasized scheduling and queue-based exam workflows, check-out and payment processing flows, triage documentation and front desk communication queues. IDEXX SmartFlow was used to instrument receptionist and triage workflows that handle emergency calls and day client intake, and to support staff who assist veterinarians and veterinary technicians during clinical workflows.
The IDEXX SmartFlow implementation operated alongside Cornerstone according to internal usage notes, enabling front desk and clinical teams to use SmartFlow for visit-level workflow and client interactions while maintaining existing practice management touchpoints. Integration and coexistence were focused on enabling staff familiarity with both IDEXX SmartFlow and Cornerstone in everyday operations.
Governance and rollout concentrated on standardizing check-in, triage and check-out procedures, and on training reception, triage and clinical teams to align operational processes with the Patient Management application. Documentation of front desk call handling, emergency triage protocols and payment conversations was captured as part of the implementation to reinforce consistent operational practice.
