In 2005, E&S Ring Management implemented NexusPayables as its AP Automation solution to centralize accounts payable processing across its operations. The deployment was delivered into a 300 user network spanning forty locations across Southern and Northern California, with IT leadership responsible for ongoing administration, support and strategic planning.
NexusPayables was configured to provide core AP Automation capabilities including invoice capture, approval workflow orchestration, vendor master management and automated posting to the company A/P ledger. The application environment was hosted on Microsoft SQL 2005 infrastructure and deployed alongside client desktop platforms running Microsoft Windows 7 and Microsoft Office 2007, with Microsoft SharePoint 2007 used for document collaboration.
Integrations were implemented with existing financial and HR systems, including Property Bridge A/R for receivables interoperability and Kronos TimeKeeper HR/Payroll 6.1 for payroll cost allocation and payment reconciliation. Authentication and user provisioning were integrated with Microsoft Active Directory 2008, and Microsoft Exchange 2007 supported transaction notifications and workflow alerts to finance and AP users.
Operational governance combined centralized IT administration with local site support, supervised by the Network Administrator, ten consultants and an IT helpdesk, and governed through a $1.7 million annual IT budget. Rollout and ongoing configuration responsibilities were managed from an IT perspective, aligning NexusPayables to accounts payable, finance and payroll business functions and embedding AP Automation controls into established workflows.
