The Oracle Peoplesoft Expenses implementation was positioned to standardize travel and expense workflows and align expense management with core finance and HR processes across the enterprise. The implementation encompassed a broad set of functional modules including Travel and Expense, Accounts Payable, Accounts Receivable, General Ledger, Purchasing, Treasury, Project Costing, Workforce Administration, Time and Labor, and Payroll. Configuration work focused on expense policy enforcement, approval routing, cost allocation to projects and GL integration, and expense reporting consistent with PeopleSoft Financials and HCM practices. Architecturally the environment ran on UNIX using an Oracle 18g database, with PeopleSoft Financials 9.2 and PeopleSoft HCM 9.1 footprints and PeopleTools versions noted at 8.58 and 8.53 respectively. The PeopleSoft estate included an explicit integration with IBM Maximo Work Order Management to align work order and capital project costing with expense and project costing records. Delivery and governance used Agile Scrum methodology with a named development lead overseeing PeopleSoft projects from the Columbus Ohio center starting in October 2014. Rollout activities targeted functional alignment across finance and HR teams, with iterative sprints used to manage configuration, integrations and user acceptance prior to production cutover.

Operational integrations included verification workflows tied to The Work Number for employment confirmations, and reconciliations between Office Move Add Change requests not entered into PS PeopleSoft and PeopleSoft transaction records. Daily operational ownership rested with the HR Data & Records team and the HRDR Lead, who coordinated closely with Legal, Benefit Design, Ethics and Compliance, Labor Relations and the Benefits Center to maintain file integrity and transaction accuracy. Governance emphasized strict PII protocols, structured file maintenance and research controls overseen by the HRDR Lead, and formalized handoffs to Talent Acquisition and Field HR for onboarding transactions. Oracle PeopleSoft Labor Relations supported auditability and administrative processing workflows while embedding HR Data & Records participation in cross functional HR initiatives.
