Vanderbilt University | Education | 4470 | $1.8B | United States | Ellucian | Ellucian ISSM (formerly fsaATLAS) | Case Management | 2014 | n/a | In 2014, Vanderbilt University deployed Ellucian ISSM (formerly fsaATLAS) as a Case Management application to centralize status tracking and event notification workflows across campus departments. The deployment focused on case status management and scheduled reporting capabilities native to Ellucian ISSM, enabling structured capture of status fields, case notes, and date-driven events used to trigger follow up actions. Configuration emphasized automated reporting and reminder workflows, using the application report function to generate notices for department contacts about necessary extensions and approaching max out dates. Implementation work centered on tailoring report schedules and case status lifecycles consistent with institutional procedures, and configuring data fields and business rules needed to drive reminders and status transitions. Ellucian ISSM was integrated operationally with PeopleSoft, fsaAtlas, and LawLogix to keep status information synchronized, updates written back to PeopleSoft and simultaneous status reflection in fsaAtlas and LawLogix. The integration approach emphasized one-way and bidirectional status updates, and leveraged the ISSM report engine as the orchestration point for notifying department contacts and prompting manual or automated updates in connected systems. Governance and operational rollout concentrated on department level ownership of reminder responses, establishing workflows for extension requests and max out date reviews, and using ISSM reporting to enforce consistent follow up by named department contacts. The implementation documented the relationship between Ellucian ISSM Case Management, PeopleSoft, fsaAtlas, and LawLogix, and embedded the report-driven reminder process into departmental procedures for ongoing case oversight.

Operational coverage included HR and records teams managing faculty, staff, student workers, visiting scholars, researchers, and contractors, and routine reporting of new hires to the Office of the Attorney General to meet state reporting requirements. Governance and process controls included systematic audits, training for HR associates and managers on records processes, and collaboration with the Office of General Council to review and revise the retention schedule for legal compliance. Equifax LawLogix Guardian was used as the electronic vendor system for Form I-9 compliance, with combined electronic and manual workflows to maintain access controls and adhere to federal, state, and university retention policies.
