First National Bank of America | Banking and Financial Services | 500 | $100M | United States | Hyland | Hyland OnBase | Content Management | 2019 |
In 2019, First National Bank of America implemented Hyland OnBase, deploying the Hyland OnBase enterprise information platform in a Content Management role to centralize loan-related content and improve loan lifecycle visibility. The initiative explicitly positioned Hyland OnBase to support loan processing and servicing functions by organizing documents and viewing the loan as an object rather than as isolated files.
The deployment included Hyland OnBase’s loan document tracking solution, document capture and classification, checklist and exception tracking, retention scheduling and consolidated reporting capabilities. Hyland OnBase was configured to track documents from booking through servicing, to surface missing and excluded documents, and to provide prospect pipeline visibility from lead intake through loan servicing.
OnBase was integrated with the bank’s RELM loan operating system to align document and loan data flows with core loan operations. Operational coverage extended across Servicing Areas including Escrow, Insurance, Customer Service and Lien Release, as well as Branches and Operations and Production Departments such as Acquisitions and Pool Purchase Departments, supporting multi borrower and multi loan tracking and reporting for the East Lansing, Michigan footprint.
KeyMark served as the implementation partner and worked alongside Hyland experts following a demonstration at CommunityLIVE, guiding configuration and workflow setup. From demonstration to live system the loan document tracking solution was configured and brought up and running in approximately six months, with initial improvements in documentation and missing document identification observed within a month of go live.
The solution automated notifications for required or expiring documents, initiated retention actions following payoff and gave auditors a consolidated view of loan files including checklist status and exception rationale. Hyland OnBase enabled reporting on captured data elements such as collateral type, expirations, exceptions and correspondence, and provided operational controls to support compliance, pipeline management and elevated borrower servicing.
