Zia Consulting recommended and deployed the Ephesoft Smart Capture platform, configuring supervised machine learning classification, OCR extraction, metadata validation, and export workflows to support invoice processing. Configuration work focused on document classification, field extraction and validation rules, and export mappings to enable straight through processing into the company content store.
The implementation integrated Tungsten Transact (formerly Ephesoft Transact) with Microsoft SharePoint as the content management system, enabling exports of extracted metadata into SharePoint for workflow routing, approval levels, and task assignment. The effort addressed two accounts payable streams, the Infor Baan Accounts Payable process that relied on division email inboxes and network share New folders, and the cERP AP process that spanned email, Microsoft Dynamics NAV, and SharePoint, and it took Zia Consulting 11 weeks to implement the Baan and cERP projects.
Governance and workflow changes centralized invoice intake away from disparate inboxes and network folders, formalized approval routing and task assignment within SharePoint, and reduced administrator intervention in the cERP process. Outcomes reported by DH Pace include freeing up 635 labor hours per month equal to 4 FTE per month, processing an additional 1,000 invoices per month, and reduced errors following the Ephesoft implementation.

In 2016, eReplacementParts implemented Tungsten Transact formerly Ephesoft Transact as an Intelligent Document Processing platform to digitize incoming vendor purchase orders, invoices, and order confirmations across hundreds of vendors. The initiative addressed a high volume of paper processing that required printing, filing, and manual data entry into homegrown back-end systems, creating a need for customizable, flexible, and scalable capture technology.
Deployment combined Fujitsu scanners with Kofax image preprocessing feeding documents into an Ephesoft server where Tungsten Transact performed OCR, text extraction, classification, and field capture. The implementation leveraged Tungsten Transact database lookup capability and bespoke JavaScript to perform vendor and product validation, read and reconcile invoice line items, and populate electronic forms for downstream processing.
Custom forms and connectors were built to push extracted data into the companys ERP and receipts databases, enabling automated validation against purchase orders and directing exceptions to the appropriate processing queues. The project was executed primarily by eReplacementParts IT with implementation and ongoing support from Zia Consulting, covering procurement and accounting workflows.
The solution went live in less than three months and was selected in part because its license cost was reported as 80 percent lower than other proprietary capture solutions. Post deployment outcomes reported include hundreds of hours of staff time saved, improved invoicing accuracy by reducing manual entry, reduced paper waste and storage, and a scalable capture platform to accommodate future growth.

Governance changes accompanied the technology rollout, with process controls scoped to support upfront underwriting reviews, rescission relief examinations at 12 months, and trend feedback to lenders. National MI documented customer facing benefits explicitly as immediate confidence in loan eligibility and coverage, reduced buybacks and rescissions, control of loan manufacturing defects, and elimination of future quality control audits, and credited Zia Consulting for its role in implementing the program.
