Governance relied on structured technical and functional workshops with business stakeholders to define desired functionality within an approved core model, and a Runbook was monitored to track production release content and timing. Change control and compliance practices were enforced through scripted change tasks and controlled scheduled jobs, with consultants overseeing technical management and ensuring regulatory alignment for HR processes. The program positioned ServiceNow HR to support HR and IT service collaboration through standardized workflows and centralized service delivery.

In conjunction with the Eptura Workplace Implementation team the solution was delivered as a software as a service web portal that integrates intranet access and email status notifications to occupants. The implementation supports dispatching requests to on site staff and off site vendors, and it includes customized scheduled tasks that generate automated requests for monthly, quarterly, and annual preventive maintenance. Built in benchmarking tools provide local, regional, and corporate management with a near real time view of service activity to inform resource planning. Governance and process changes established a standardized intake process, task quantification rules, and mechanisms to track which team member or how many team members were required to complete each requested service. The standardized workflows and benchmarking were implemented to support proactive forecasting of facility resources. Eptura Workplace has allowed the facilities organization to improve operational efficiencies and maintain a higher level of customer service.
