Entrata configured Coupa to serve as the centralized intake point for procurement, expense, travel, and invoice activity, adopting Coupa Contracts, Procurement, Invoices, Payments, and Expense capabilities alongside Coupa Travel. The implementation emphasized standardized approval workflows, mobile approvals via the Coupa mobile app, and end user training to enforce controls and compliance across departments, supporting an expanding procurement organization and 250+ buyers globally.
Integrations implemented included a seamless Coupa integration to Entrata’s ERP and an Amazon Business punchout with full invoice automation via Amazon Business cxml integration, completed in eight weeks. The punchout consolidated six Amazon Business accounts, centralized ordering and invoicing through Coupa, and supported 2400+ purchase orders overall, 500+ orders through Amazon Business across five countries, 425 expense users, 320 purchasers and requesters, and 150 contract negotiations, while Coupa Travel in the Travel Management category became the primary travel booking tool for U.S. users.
Governance and rollout combined process design with technology, as the procurement organization and Coupa implementation launched together to create enduring controls, compliance, and spend visibility. The two-phased program reached go-live within 16 weeks from configuration to initial production, establishing Coupa as the core procurement and travel booking architecture for Entrata and enabling phased regional expansion of procurement, invoice, and expense coverage.
