In 2015, Exelon deployed InComm Incentives Rewards and Recognition as its Employee Recognition and Rewards Management solution to support companywide non-cash awards for eligible employees below executive level. The InComm Incentives Rewards and Recognition deployment included configurable award personalization, allowing a recipient name, custom message, and company name or logo to be embedded with an award. Ordering workflows supported single award transactions and bulk Order Import uploads, where file formats could be saved for recurring shipments. Delivery options included US Mail, FedEx, and e-mail, virtual awards were delivered by e-mail within 90 minutes of placement, paper orders approved by 2 p.m. Central time shipped the same business day, and Print and Present awards generated an e-mail to the orderer for in-person presentation.
Operational integration points and controls were explicit in the implementation, with secure online ordering via Engage.InCommInCentives.com using SSL encryption. Payroll visibility for imputed income was provided through PeopleSoft Employee Self Service, with award-related withholding and gross up reflected on the regular pay statement generally within two pay periods. Managers received an online suite of reports to monitor awards activity, and the system allowed managers to designate delegates to request or approve awards on their behalf.
Governance and approval workflows were configured to match Exelon policy, permitting Key managers and above to order awards without additional approvals unless an order aggregate exceeded $5,000, which required approval from the ordering Key Manager’s reporting vice president. Supervising employees at grade level E04 required approval by their reporting Key Manager or above. Tax handling was built into the operational process, awards were treated as taxable compensation with Exelon applying a gross up to neutralize tax implications, budgets were charged for face value plus service fees and gross up, with Exelon advising an estimate of approximately an additional 60% of face value to cover gross up. Customer support and account management channels were provided for ordering assistance and large order coordination.
