Documents are programmatically downloaded and converted to PDFs, files with more than 30 pages are split, then PDFs are uploaded to IQ Bot which is tailored to classify and extract fields that distinguish appraisal forms from flood certification forms. IQ Bot produces a response file as a CSV, which is ingested by an RPA task bot to perform lookups and comparisons and to assemble an output report of items that require human review.
Operational coverage centered on the mortgage operations and underwriting pre funding checks, with the automation processing approximately 40,000 documents to date. When the COVID-19 pandemic created constraints on on site staffing and increased call volumes, KeyBank relied on the RPA plus IQ Bot orchestration to absorb additional work without immediate headcount increases.
Governance shifted the team from full document processing to an exception handling model where employees review only the items surfaced in the output report.
