In 2019 Affinity Dental Management implemented MineralTree TotalAP, an AP Automation solution, to address rapid acquisition driven growth and centralized accounts payable bottlenecks. The dentist run DSO had expanded to 32 offices across four states and was processing approximately 1,000 invoices a month, which stressed a small, centrally managed AP team and relied on manual invoice handling and data entry into QuickBooks.
MineralTree TotalAP was deployed as a cloud based invoice capture and payment orchestration platform, with automated invoice capture that combines OCR with human review, electronic payment capabilities, and a SilverPay virtual card program. The deployment emphasized a two way sync with QuickBooks to eliminate duplicate manual entry, invoice posting workflows for an AP specialist, and electronic payment routing to reduce paper check issuance.
Operationally Affinity Dental centralized inbound invoices to a dedicated AP email account, scanned mailed invoices for upload, and routed documents into MineralTree for capture, processing, and posting. The AP specialist now spends roughly 10 minutes a day scanning paper invoices and about an hour processing and posting invoices in the system, while the controller runs weekly reports in MineralTree to select invoices for payment, maintaining centralized control across four states.

The deployment used a real time, API level integration with Microsoft Dynamics GP to ensure invoices could be posted back to the appropriate general ledger accounts and payments coordinated with the ERP. The MineralTree TotalAP interface provides timestamped approval tracking and remote approval capability, supporting AMC’s dispersed accounts payable team across multiple New England locations and enabling approvals and payment processing outside the headquarters environment.
Governance and operational outcomes were explicitly tracked in the rollout, with MineralTree providing ongoing customer success and support engagement. Appalachian Mountain Club reported earning thousands in rebates annually through SilverPay, with those rebates covering over 30% of the total cost of MineralTree.
