In 2017 British American Tobacco deployed OpenText ECM as part of Programme Aurora to centralize HR file management, using OpenText Extended ECM for SAP SuccessFactors to establish a single source of truth for employee records within an Enterprise Content Management strategy. The deployment was provisioned in the OpenText Cloud, principally in the European data zone, and aligned to BAT's cloud first strategy and its single global instance of SAP SuccessFactors.
The implementation configured core content services for employee files, letters, contracts and HR correspondence, plus records management and workflow automation capabilities. OpenText Extended ECM for SAP SuccessFactors was embedded into the SuccessFactors user interface so business partners and HR teams could access relevant employee file content directly, and the OpenText ECM instance supported automation of key HR communications and enhanced privacy and security controls.
Architecturally the solution was integrated with BAT's single, global SuccessFactors tenant and hosted within the OpenText Cloud European zone, providing a content repository and metadata model that maintains continuity as employees relocate between countries. The environment consolidated document management, versioning, and secure access controls under the OpenText ECM platform, enabling consistent content lifecycle management aligned to HR process flows.
Operational rollout targeted BAT's revamped HR operating model centered on shared service centers at strategic locations globally, with the system initially managing more than 20,000 employee records and a planned expansion to cover over 50,000 HR files across the organization. Governance changes emphasized standardized HR processes and centralized content governance, enabling HR and business partners to deliver consistent service levels and faster access to personnel records.
Reported outcomes included cost reduction and improved HR document management efficiency, faster production of HR reports and analytics, and improved automation and privacy controls for employee communications. The OpenText ECM deployment directly supported BAT's objective to unify employee information management within an Enterprise Content Management framework.

OpenText ECM was configured to centralize invoice images, vendor documents and audit trails, enabling structured document management and records control consistent with Enterprise Content Management. Workflow orchestration and configurable exception handling were applied to formalize approval chains and reduce manual queue management.
The OpenText ECM deployment integrated with CBH's SAP environment to link invoices to SAP financial transactions and purchase records, enabling end to end visibility across the P2P lifecycle. Integration work focused on document exchange, metadata synchronization and status updates between OpenText ECM and SAP, improving transaction traceability and evidence for audit and vendor inquiries.
Governance changes included formalized process ownership within Shared Services, new accountability for invoice lifecycle stages and the introduction of reporting dashboards to support vendor queries. The program produced documented purchase to pay process insights and cost savings, and CBH planned to pass operational efficiency gains back to growers by way of reduced storage and handling costs.
