UniDistance Suisse | Education | 464 | $80M | Switzerland | Odoo | Odoo Contracts | Contract Lifecycle Management | 2020 |
In 2020 UniDistance Suisse implemented Odoo Contracts as its Contract Lifecycle Management solution to centralize contract administration across academic, administrative, and financial functions. The deployment was delivered on-premise and was part of a broader Odoo rollout that covered Contact Management, Mass Mailing, Leaves, Timesheet, Accounting & Finance, Assets, Project Ticketing, Survey, Employee Directory, Contracts, and Expenses, supporting a combined population of 2440 users including employees, teachers, and students.
Odoo Contracts was configured within a customized Odoo framework, using standard applications extended to support institution-specific contract templates, approval routing, and lifecycle states consistent with higher education workflows. The implementation emphasized custom frontend and backend web applications, including a Registration/Inscription Form App, a Teacher App, a Student App, and an Evaluation App based on the Survey module, enabling contract-related processes to interoperate with student and teacher lifecycle workflows.
The on-premise architecture was integrated with third party learning and identity systems, specifically Moodle for course delivery, Signal Sign On provided by Switch for authentication, and a Microsoft 365 mail server for messaging and notifications. The project also leveraged Swiss localization and banking interactions from the OCA community to align accounting and validation workflows, and engaged Brain-tec s salaryApp capability alongside Pesol for payroll and HR interfacing where applicable.
Governance and rollout were coordinated by implementation partners Pesol and Brain-tec with additional contributions from Redcor and the OCA community, and ongoing account management by Odoo account manager Carlos Weishäupl. The program standardized data and validation workflows across previously scattered processes, making study, administrative, and financial management processes available online and internationally, and establishing a uniform cross functional practice for contract and resource management.

UniDistance Suisse | Education | 464 | $80M | Switzerland | Odoo | Odoo Email Marketing | Marketing Automation | 2020 |
In 2020 UniDistance Suisse implemented Odoo Email Marketing as part of a coordinated on-premise rollout to centralize communications and marketing workflows, the implementation is explicitly categorized as Marketing Automation. The initiative was executed alongside a broader Odoo suite deployment that serves 2440 users including students, teachers and employees, and the on-premise environment hosts contact and mass mailing capabilities alongside core administrative modules.
The implementation deployed Odoo Email Marketing integrated with Contact Management and Mass Mailing modules, and was configured to interoperate with deployed modules for Leaves, Timesheet, Accounting & Finance, Assets, Project -Ticketing-, Survey, Employee Directory, Contracts and Expenses. Customization of the Odoo Email Marketing workflows and templates was used to align messaging to multilingual course delivery, and the institution leveraged standard Odoo automation features to schedule campaigns and track engagement within the mass mailing framework.
Integrations were implemented with Moodle for course delivery, Signal Sign On from Switch for single sign on, and the institution’s Microsoft 365 mail server for outbound delivery, demonstrating hybrid interoperability between open source and commercial systems. The Odoo deployment used Swiss Localization contributions from the Odoo Community Association to manage accounting and banking interactions, and integration work was executed by implementation partners Pesol and Brain-tec with additional support from Redcor, coordinated through Odoo account manager Carlos Weishäupl.
The project consolidated previously fragmented toolsets that included Sage for accounting, Blue Office for leaves and timesheets, Jedox for BI and budgeting, and Microsoft Office tools used for ad hoc ticketing and contact lists, creating a unified operational data model across study, administrative and financial domains. Governance and validation workflows were extended using tiered validations for expenses and invoicing, and the deployment enabled online availability of management processes across the university network, an outcome highlighted by the administrative leadership as a move into the digital age.
