Integrations were established with Baker’s Document Management Systems, Microsoft Word and Excel, and Bluebeam to enable round trip editing, version control, and to surface fully executed agreements into procurement workflows. Signature and execution records from Adobe Document Cloud were interfaced into the Document Management System to support subcontractor payment workflows and to maintain the Master Agreement List. Operational coverage included Purchasing, Contracts, Risk, Operations, and Project Managers coordinating with external subcontractors on agreement status, indemnity, and insurance validation.
Governance was formalized around centralized Master Agreement files, designated back up processing roles within the Contracts Department, and checkpoints with Risk and Operations prior to external distribution. The implementation codified redline handling procedures, upload and finalization steps for fully executed Purchasing Agreements, and communication touchpoints for procurement procedures and problem resolution. Adobe Document Cloud was used to provide electronic signature certification and audit trails as part of the documented compliance and record retention configuration.
