AdventCare Whitehorse | Healthcare | 50 | $5M | Australia | EzeScan | EzeScan PRO | Intelligent Document Processing | 2020 | n/a | In 2020, AdventCare Whitehorse implemented EzeScan PRO as its Intelligent Document Processing solution for accounting and finance. The EzeScan PRO deployment served the accounting and finance function across two Aged Care facilities servicing 224 beds and four Retirement Villages with 202 units in Victoria, supporting centralized document intake and processing for all sites. Deployment focused on document capture, optical character recognition, automated classification and indexing to ingest invoices, resident financial records and payroll documents, standard capabilities associated with Intelligent Document Processing. EzeScan PRO was configured with template extraction and validation rules and routing logic to align captured data to the organization chart of accounts and finance workflows. The Financial Controller led configuration decisions to ensure extraction templates matched reporting and budgeting structures. The implementation integrated EzeScan PRO with Telstra Health Resident Manager, Technology One Financials and Technology One HR & Payroll as explicit downstream systems, enabling extracted and validated data to be posted into accounting and payroll ledgers and keeping resident financial records synchronized. Integration work included automated export of verified invoice and resident billing data into Technology One Financials and mapping payroll documents into Technology One HR & Payroll while maintaining consistency with Telstra Health Resident Manager data models. The integration and processing scope covered all AdventCare Whitehorse sites in Victoria. Governance and rollout were managed by in house finance leadership, with the Financial Controller directing project governance, standard operating procedures and user training across finance and payroll teams. The project supported an overhaul and enhancement of budgeting and management reporting as recorded outcomes, and standardized document intake and validation across multiple site operations. Risk controls were implemented through document quality checks and validation checkpoints in the capture to ledger posting workflow. | |
